How to Import Banking to QuickBooks
If you use QuickBooks to track financial transactions for your business, you can set up your company bank accounts for automatic downloads. This will allow you to reconcile your credits and debits against posted transactions. QuickBooks can connect to your bank account in two ways -- WebConnect and DirectConnect. The former requires a Web browser to connect to your bank; DirectConnect downloads the information without going through a browser. Contact your financial institution for details, as some banks may charge a monthly fee to download your transactions with DirectConnect.

Click the "Banking" menu, click "Online Banking," and then select "Online Banking Center."

Click the "Financial Institution" drop-down arrow and select your bank from the list.

Select the "Send/Receive Transactions" button.

Enter the credentials provided by your financial institution to access your account online.

Select the option to download transactions to QuickBooks. You may have to select the type of financial software you are using. If prompted, select the "Open" option in your browser to automatically download and import the data to QuickBooks.

Navigate to your financial institution's website and log in with the credentials provided by your bank.

Access the option to download your account statements and select the "QuickBooks" or ".QB0" file format. Click the option to download the file and select "Save" if prompted by your browser.

Launch "QuickBooks," click on the "File" menu and select "Utilities."

Click "Import" and select "Web Connect Files."

Browse to the file you downloaded. Select it and click "Open." To finalize the import, reconcile your transactions in the Begin Reconciliation window.

Choose your checking account in the "Select Your QuickBooks" account drop-down list. Click "Next." If you don't have an account, click "New" and select your account from the list of institutions. Provide any necessary bank account or personal information to complete setup.

Follow the remaining prompts to connect to your bank account and download your transactions to your QuickBooks software.

Reconcile your transactions using the Begin Reconciliation window after your transactions have finished downloading.
Reconciling Downloaded Transactions

Click "Banking" and "Reconcile" to open the Begin Reconciliation window if it isn't already open. Select the account for which you downloaded your transactions, if necessary.

Enter the date of the bank statement you want to reconcile in the Statement Date field.

Select the "Matched" button to clear the transactions you downloaded. If any of the downloaded items don't match your transactions, click on each one and select the option to manually match it to a specific transaction or enter it as a new deposit or expense.

Click "Reconcile Now." You shouldn't have to enter an ending date since you downloaded the transactions directly from your bank.

- DirectConnect may also provide you with additional options such as the ability to pay vendors online, online bank account transfers and the ability to email your bank from within QuickBooks.
- Some banks may restrict the hours available for downloading. Contact your financial institution to inquire about any restrictions.
- Contact your financial institution to request a Customer ID and password or PIN to use online services. You can try using your existing online banking ID; but many banks issue separate IDs for transaction downloads and regular online access, especially if you are using DirectConnect. Direct Connect users may need additional information, such as an account number, routing number and the account type.
